Role Profile: Fleet Support Officer
Accountable to: IT and Procurement Director
Line Manager: Business Support Team Manager
Hours : Mon – Fri (37.5 hrs)
Salary: Circa £27k
Location: Halesowen Support Centre
Job Purpose
To provide efficient administrative support to Keys services and to assist and provide cover for other members of the Business Support Team.
Key responsibilities
To assist in the administration and coordination of the organisations fleet of motor vehicles
· Provide a first point of contact by responding to telephone and email enquiries, and escalate and redirect issues as required.
· Maintain accurate records of vehicles using in house Fleet database including adding new vehicles to MID, Breakdown
· Ensure compliance with government rules and regulations i.e. tax / mot
· Support services with fleet enquiries
· Working with the services and third party Fleet Management company to resolve vehicle repair issues.
· Provide a first point of contact by responding to telephone and email enquiries, and escalate and redirect issues as required.
· Resolve queries in relation to penalty charges i.e entering fine information on to database, identifying offending drivers & completing representations.
· Arranging hire vehicles
· Management of fuel cards
· Arranging & following up on telematics installations/removals
· Monitor drivers licences for endorsements/disqualification
· Dealing with HRIS/Driver Check
· Deal with insurance claims
· Liaising with garages regarding mechanical repairs/bodywork
· Cover other members of the Business Support Team when required. i.e. post, accommodation requests, archiving, stationery orders, dealing with visitors/deliveries, scanning of confidential documents, system password re-sets
Person Specification
· 2 years Fleet Admin experience - desirable
· Accuracy and attention to detail.
· Able to work on own initiative and as part of a team, proactive, can do attitude
· Able to communicate with colleagues at all levels.
· Able to adapt to various systems
· Proficient in the use of Microsoft office – Word, Excel and Outlook.
· Able to work with confidential and sensitive data.
· Team player
· Excellent organisational skills
· Proactive and takes initiativ
