Job Description

Keys Inclusion Pathway is seeking an organised and proactive Timetabling Officer running of our alternative education provision. This role is central to ensuring learners receive structured, responsive and effective educational programmes; playing a key role in coordinating student timetables and staff schedules to ensure vulnerable young people receive consistent, high‑quality education and support.

 

Working closely with tutors, families, schools and external partners, you will ensure schedules are accurate, responsive to change, and aligned to students’ individual needs. You will play a key part in maintaining communication across teams and ensuring our provision runs efficiently and safely.

 

This is a hybrid role, combining home‑based working with collaboration across teams, sites, and partner agencies as required.


The Role

As a Timetabling Officer, you will:

  • Create, maintain and update daily and weekly student timetables
  • Coordinate staff schedules across multiple sites and community‑based settings. 
  • Respond to timetable changes, staff absences and urgent adjustments to ensure continuity of provision. 
  • Support the smooth day‑to‑day running of educational services through effective scheduling and coordination
  • Maintain accurate records using management information systems and databases. 
  • Produce timetable documentation and registers
  • Act as a key point of contact for scheduling queries and provide timely updates
  • Communicate clearly with staff, students, parents/carers and external stakeholders. 
  • Liaise with schools, local authorities and partner agencies as required. 
  • Support onboarding arrangements for new students and staff
  • Assist with data entry, record keeping and general administrative duties
  • Ensure confidentiality and handle sensitive information in line with safeguarding requirements.

Working Pattern & Salary

  • Full‑time (term time only, with flexibility considered). 
  • Hybrid working – home‑based with collaboration across sites and teams. 
  • Salary: Competitive (dependent on experience)
  • Job share options may be considered. 

 

Requirements

Essential:

  • Experience in administration, coordination or scheduling roles. 
  • Strong organisational and time‑management skills
  • Ability to manage multiple priorities and work in a fast‑paced environment. 
  • Excellent communication and interpersonal skills
  • Confidence using Microsoft Office and database systems. 
  • Understanding of safeguarding, confidentiality and data protection responsibilities. 

Desirable:

  • Experience within education, alternative provision, youth services or social care. 
  • Knowledge of SEND, SEMH or supporting vulnerable young people. 
  • Experience with MIS or education management systems
  • Understanding of multi‑agency working environments.
