Referrals Administrator

POST: Referrals Administrator (Education)

REPORTS TO: Business Development Manager

LOCATION: North West England


Job Summary:

We are seeking a highly organised and compassionate Referrals Administrator to join the commercial team supporting our independent SEND schools to increase occupancy across England and Wales. The successful candidate will play a crucial role in managing and processing referrals, ensuring that all the appropriate information is available for the schools to review and make decisions on. This position requires excellent communication skills, attention to detail, a passion to increasing occupancy and an ability to manage information safely and effectively.


Objectives:

To receive, co-ordinate and process all education referrals made to the Group, taking ownership through the referral journey through to the point of admission.


Key Responsibilities:

1. Referral Processing:

o Receive and accurately log referrals from various sources including local authorities, placement officer, SEND Officers and social workers.

o Review referral documentation for completeness and accuracy.

o Ensure referrals are processed in a timely manner and directed to the appropriate service to meet the needs of the individual.

2. Communication and Coordination:

o Act as the first point of contact for referral inquiries, providing clear and helpful information to referrers and customers.

o Liaise with social workers, SEND Officers and other stakeholders to gather additional information as needed.

o Coordinate the sharing of information for the operational teams (Head Teachers and Senior Leaders) at the schools to review referrals.

o Coordinate the referral throughout the full process from being received through to the individuals being admitted, including sending out offers and arranging for the signing of contracts.

o Participate in a weekly occupancy KPI call with the commercial and operational team.

3. Data Management:

o Maintain accurate and up-to-date records of all referrals using the client relation management system Salesforce (The Link).

o Generate regular reports on referral activity and outcomes for management review.

o Ensure compliance with data protection regulations and confidentiality policies.

4. Administrative Support:

o Perform general administrative duties including keeping digital records up to date, running reports when required and writing offer letters.

o Assist in the development and maintenance of referral procedures and policies.

o Collaborate with team members on initiatives aimed at improving referral processes and client outcomes

Skills and Personal Attributes:

· Experience: Previous experience in an administrative role, preferably within the education sector or children’s services.

· Skills:

o Strong organisational and multitasking abilities.

o Able to build positive relationships between purchasers and Keys Group

o Excellent written and verbal communication skills.

o Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management systems.

o Ability to work independently and as part of a team.

o High level of accuracy and attention to detail.

o Compassionate and empathetic approach to working with vulnerable young people.
