Project Support Administrator

Fixed Term: 12 Months with potential of extension 

Salary: £22,500 plus travel 

Location: Mainly home based, but willing to travel to Halesowen, West Midlands and across England and Wales as required.

 

Overview:

We are seeking a dedicated Project Support Administrator to provide essential administrative assistance for the implementation of a new digital care records system across Keys Group. The Project Support Administrator will play a crucial role in facilitating smooth project execution by assisting with various administrative tasks, organising documentation, and supporting all our care services.

This position offers an excellent opportunity to contribute to the success of a critical software initiative across a large organisation while gaining valuable experience in project support and administration.

Responsibilities:

  1. Administrative Assistance: Provide comprehensive administrative support to the project team, including organising project-related documentation.
  2. Documentation/Records Management: Assist and support care services to input care records into the system ensuring accuracy and accessibility for all stakeholders.
  3. Communication Coordination: Communicate effectively among project team members and care teams following up on action items, and maintaining communication channels.
  4. Resource Coordination Assist in the coordination of project resources, including personnel, equipment, and materials, to ensure timely and efficient project execution.
  5. Meeting Coordination Support the in any matters relating to: scheduling and coordinating project meetings, workshops, and other events, including preparing agendas, distributing materials, and capturing key takeaways.
  6. Issue and Risk Management: Escalate critical issues to the Project Team Leader or relevant stakeholders and assist in the implementation of resolution strategies.
  7. Quality Assurance Support: Assist in any directed quality assurance activities, such as testing coordination, user acceptance testing (UAT) support, and documentation review, to ensure the quality and functionality of the software system
  8. Training and Support Coordination: Assist in training sessions and providing logistical support for end-user training and support activities to facilitate successful adoption of the software system.
  9. Compliance and Documentation: Ensure compliance with project-related policies, procedures, and regulatory requirements, and assist in maintaining accurate project documentation for audit and reporting purposes.
  10. Ad-Hoc Support: Provide additional support to the project team as needed and performing other tasks to support project objectives.
  11. Health and Safety: Ensure adherence to company and Health and Safety Policies.

 

Qualifications/Previous Experience

  • Essential GSCE’s (Equivalent) in English/Math’s
  • Desirable further education qualifications in a relevant diploma or degree.
  • Preferred experience in administrative support roles, preferably in a project or IT environment.
  • Strong organisational skills with the ability to manage tasks and priorities effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organisation.
  • Excellent timekeeper, being able to achieve objectives within a set timescale.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team in a fast-paced environment.
