Compliance Coordinator

Location: Office Based (Halesowen)
Salary: £25,000 per annum
JOB PURPOSE
Working as part of the existing Compliance Team, you will assist the Head of Facilities to manage a diverse property portfolio to ensure group wide compliance and continuity of service to support young vulnerable people and adults.
KEY RESPONSIBILITIES
- Management Preventative Planned Maintenance through in-house CAFM system ensuring that it is fully up to date.
- Review / collation of all statutory certification onto CAFM System.
- Progression of remedial works identified from the PPM certification in line with best practice and in line with the Service Level Agreements & Tenders.
- Ensuring all statutory certification and PPM remedial work is up to date.
- Progress invoicing via the CAFM system and Accounts Payable Dept ensuing accurate data input and dealing invoice queries.
- Monitoring and managing the performance of PPM / Response contractors
- Meeting regularly with PPM contractors, chairing review meetings and taking accurate minutes
- Administration of the Approved Contractors and reviewing contractor documentation to ensure compliance
- Providing regular reports and assisting the Head of Facilities when required
- To provide technical support to telephone and email requests from the business
- Liaise with suppliers and contractors, where required.
- To provide at all times a professional, courteous and rapid response to business request.
- To prepare and provide monthly regulatory reports.
- To undertake such projects/work of a level commensurate with the responsibility of the post, as designated by the Head of Facilities.
GENERAL PROVISIONS
Understand and ensure the implementation of the company’s Health and Safety policy and emergency and fire procedures.
You may be required to undertake other duties appropriate to your post and/or hours of work. The company may periodically review your role description and update it to ensure that it relates to the job as being performed. It is the company’s aim to reach agreement on reasonable changes, but if agreement is not possible the company reserves the right to insist on changes to your role description after consultation.
Essential:
- Excellent written and verbal communication skills
- Knowledge of the management of asbestos, fire safety and legionella or other compliance elements.
- Minimum of 2 years facilities management experience.
- Excellent organisational skills.
Desirable
- Recognised Facilities qualification / Health & Safety (IOSH or NEBOSH)
- Good working knowledge the ability to work with Microsoft Excel and CAFM Systems.
- An understanding of statutory environmental requirements
- Minimum of 2 years’ experience working within the care sector
